This Privacy Policy explains how Verde Pilates ("we," "us," or "our") collects, uses, and protects your personal information when you use our member portal at portal.verdepilates.com (the "Portal") to purchase memberships and class packages, book classes, check in, and manage your account. By using the Portal you agree to the practices described here.

1. Information We Collect

We collect the following information when you use the Portal:

  • Account information. Your name, email address, phone number, and the password you set when you register.
  • Membership & booking activity. The packages and memberships you purchase, classes you enroll in or cancel, attendance and check-in records (including QR check-in), and remaining class credits.
  • Payment information. When you make a payment, your card details are collected and processed directly by our payment processor, Stripe. We do not store your full card number. We retain limited billing records such as the card brand, last four digits, expiry, and a payment reference for receipts and account history.
  • Communications. Messages, requests, and notification preferences you share with us.
  • Technical & usage data. Information your browser sends automatically, such as IP address, device and browser type, and log data, along with session cookies used to keep you signed in.

2. How We Use Your Information

  • Create and manage your account and memberships.
  • Process payments, subscriptions, and refunds, and send receipts.
  • Schedule classes, manage enrollment and waitlists, and record attendance.
  • Send service messages such as booking confirmations, reminders, and account notices.
  • Provide customer support and respond to your requests.
  • Keep the Portal secure, prevent fraud, and meet our legal and accounting obligations.

3. How We Share Your Information

We do not sell your personal information. We share it only as needed to operate the Portal:

  • Service providers. Trusted vendors who help us run the business, including Stripe (payment processing), and our hosting and email providers. They may only use your information to provide services to us.
  • Studio staff. Our instructors and administrators access booking and attendance information to run classes.
  • Legal reasons. When required by law, or to protect our rights, safety, or property.
  • Business transfers. In connection with a merger, acquisition, or sale of assets, subject to this policy.

4. Payment Processing

Payments are handled by Stripe, a PCI-DSS compliant payment processor. Your card information is transmitted directly to Stripe and is subject to Stripe's Privacy Policy. We receive only the limited billing details needed to manage your subscriptions, charges, and receipts.

5. Cookies

We use essential cookies to keep you signed in, remember your preferences, and secure your session. These are required for the Portal to function. You can control cookies through your browser settings, but disabling them may prevent you from signing in.

6. Data Retention

We keep your information for as long as your account is active and as needed to provide our services. We retain transaction and billing records for the period required by tax, accounting, and legal obligations. You may request deletion of your account, subject to records we are required to keep.

7. Data Security

We use reasonable technical and organizational measures to protect your information, including encrypted connections (HTTPS) and hashed passwords. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your Privacy Rights

Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to opt out of certain uses. Texas residents have rights under the Texas Data Privacy and Security Act (TDPSA), including the right to confirm whether we process your personal data and to access it, to correct inaccuracies, to request deletion, to obtain a portable copy, and to appeal a decision we make about your request. We do not sell your personal information or use it for targeted advertising.

9. Children's Privacy

The Portal is intended for adults. We do not knowingly collect personal information from children under 13. Accounts for minors should be created and managed by a parent or guardian. If you believe a child has provided us information, please contact us so we can remove it.

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, notify you. Your continued use of the Portal after changes take effect means you accept the updated policy.
